The short answer: the right client gallery software for an Indian studio protects previews, supports family selection, ties delivery to payment, is priced in rupees with GST invoices, and works on everyday Android phones. Features built for print sales in Western markets matter less.
Most well-known client gallery platforms were designed for photographers in the US, UK and Australia. They are polished, but their priorities - print stores, dollar subscriptions, single-client proofing - don't always fit how Indian studios work. Here is a practical checklist.
1. Privacy and access control
Your client's wedding photos are personal. Check that galleries are private by default and protected by a PIN or password. Ask what happens if a PIN leaks: can you change it and end existing sessions immediately? Is there a lockout after repeated wrong attempts? Can full-resolution files be reached before you release them, even via a direct link? In Pikvaa, five wrong PIN tries trigger a 15-minute lockout, changing the PIN ends old sessions, and full-quality files are never reachable through a gallery or share link before release.
2. Watermarking
Watermarks discourage previews being used as finals. Prefer watermarks added on the server rather than overlaid in the browser, which is easier to bypass. Be wary of any software that promises to block screenshots - no app can guarantee that. Pikvaa adds watermarks on the server, on by default, and blocks right-click and long-press saving without making screenshot promises.
3. Selection that matches Indian families
Western proofing tools often assume one client makes the choices. In India, album selection is usually a family process. Look for shared live selection, a record of who changed what, album priority tags and a clear submit step. See our album selection guide for why this matters.
4. Payments and release
Many studios collect in parts: an advance, a payment on the day and a balance before the album. Your gallery software should let you hold back full-quality files until the job is paid. Note the difference between software that processes client payments and software that records them. Pikvaa records payments your clients make to you directly, by UPI or cash, and releases finals when confirmed payments reach the approved price.
5. Pricing model and GST
Check the currency, the billing cycle and whether GST invoices are provided. Monthly dollar subscriptions can be expensive in quiet months. Per-event pricing scales with your work. Pikvaa's packs are priced per event in rupees - Lite 3 GB from ₹99, the 40 GB wedding pack at ₹999 and 120 GB at ₹2,999 for six months, all before 18% GST - and checkout shows both prices.
6. Storage honesty
“Unlimited storage” sounds attractive but is rarely unlimited in practice. Prefer clear limits and clear dates: when does the gallery go offline, when are files archived and when are they deleted? Every Pikvaa event shows its selection deadline, gallery access end, storage expiry and deletion date before you pay. Also ask whether originals are backed up - Pikvaa does not back up originals, so studios should keep their own copies.
7. Language and devices
If your clients or staff are more comfortable in Tamil, a Tamil interface helps. Test the gallery on a budget Android phone on mobile data, not just on your laptop on Wi-Fi. Lightweight previews make a big difference outside metros.
8. Studio tools around the gallery
A gallery is one part of the job. If you also need leads, quotes, bookings and crew, an integrated tool avoids copying data between apps. If you just need galleries, choose something that doesn't force you into a full CRM. Pikvaa lets Free studios create an event directly, record payments and deliver, with the CRM available on Pro.
Questions to ask any vendor
- Can I try it on a real event before committing?
- What exactly happens to files at expiry, and when?
- Are prices shown before and after GST?
- What happens to my galleries if I stop paying?
- Who can access my clients' photos, including your support team?
